Start with the reason for each visit
A fixed weekly appointment is not always the most useful plan. Identify the stages at which a visual record will help the team: before work begins, after a significant installation, before an area is covered or near handoff. Agree the milestone and the areas required for each visit.
Make successive tours easy to navigate
Use consistent building and room names, and label every capture with its date. Record exclusions when access changes. A project team comparing two versions needs to know whether a room changed or simply fell outside one appointment.
Assign a contact to confirm readiness before each visit. Construction schedules move, and a short readiness check helps avoid a scan that misses the intended condition. Repeat work and hosting should be part of the accepted scope.
Plan the final handoff
Decide which tours remain available at completion, who receives the links and who manages hosting. If facilities staff will use the final record, involve them in the review. A clear ownership and update plan keeps the walkthrough useful after the project team moves on.
